Step 4: Associate labels with external data

SenseTask allows the association of document labels with values from other applications. For example, invoice items can be linked with products in an ERP system’s product catalog.

Configuring labels to display external data #

To configure document labels to display external data, see Workflow folder settings.

For example, for financial documents (e.g., invoices, receipts), external data can be linkedin to labels like Inventory, Ledger table, External name, etc.

Once these labels are configured, you need to synchronize the external data within the SenseTask platform.

Synchronizing External Data in SenseTask #

If you didn’t synchronize data during integration configuration, you can do so while reviewing a document. Navigate to the integration name (top right, under the file name being reviewed), and a menu will open from which you can sync the desired data (e.g., Synchronize items, Synchronize inventory).

If external data is synchronized to these labels, they will appear during document review. For example, if a product catalog from an integration is loaded, you can select from the External name list.

Associating with external data during review #

Once synchronized, you can link document values with external data. For example, on an invoice, link an item with a product from the catalog (External Name). If a product was previously associated with a catalog item, it will appear as a suggestion next time.

Over time, the platform will make more suggestions, gradually making external data association more efficient.

In the External Name list, other options appear:

  • New product – Marks the item for creation as a new product in the ERP upon export.
  • Discount or increase – Distributes discounts or increases across other items according to the selected option.

When you have a new product, it’s recommended to create it first in the ERP and then Synchronize new items for this integration so you can associate it the first time it appears.

If you do not see external data for a label after syncronization:

  • Check that the label is correctly configured with the Data type > Single select from synced resource option in Labels configuration.
  • Verify that the integration is active for this workflow folder, correctly configured, and the data synchronized: Configuring export integrations.
