In a workflow folder, you can configure the system to automatically append key label values and the approver’s name as an appendix at the end of processed PDF files. This feature enhances document traceability and compliance.
- Access the settings of a workflow folder (see Workflow folder settings for details)
- Select Workflow > Integrations & export from the left panel
- On the right side, click on Add data to PDF Files
- To include specific label values in the PDF appendix: Add label values in PDF appendix, click on the Select dropdown.
- Choose the labels you wish to include (e.g. Invoice number, Product name, External Name).
- To add the approver’s name to the PDF appendix, check Add approver in PDF appendix.
- Click Save to apply the changes.
Important Note: Adding label values to the PDF appendix is especially useful when your data is enriched from external systems. For example, if an invoice line contains a product code and you’ve mapped that to an external ERP product name, including both values in the appendix ensures clarity on printed or archived PDFs.
Once configured, the system will automatically append a page at the end of each processed PDF in this workflow folder (including its subfolders), displaying the selected label values and the approver’s name.
